Administrative Support:
- Provide professional secretarial services to the Director
- Prepare and type documents such as reports, letters, agendas, and memos
- Ensure all documents are formatted and presented professionally
Office & Diary Management:
- Maintain and manage the Directorโs daily schedule
- Arrange meetings, appointments, and deadlines
- Send reminders for important tasks and commitments
Meeting Coordination:
- Organize meetings and ensure proper scheduling
- Prepare and distribute agendas in advance
- Take accurate minutes during meetings
- Circulate minutes and follow up on action items
Communication Handling:
- Answer incoming calls and manage messages
- Handle internal and external correspondence
- Welcome and assist visitors in a professional manner
Travel & Logistics:
- Arrange travel bookings including flights, accommodation, and transport
- Ensure all logistics are properly coordinated
Records & Filing:
- Maintain organized filing systems (both digital and physical)
- Register incoming and outgoing documents
- Ensure proper record-keeping and document tracking
Office Management:
- Maintain cleanliness and organization of the office space
- Manage office supplies and stationery
- Assist with procurement of necessary office materials
